How to configure Email Templates for automated communication
Email templates are preformatted emails that can be set up in the system for automated communication with guests. Once configured, these emails are sent automatically on various occasions, such as when sending Booking Offers, Welcome emails, Booking Cancellation notices, or reminders for guests to pay invoices. Each template can be customized with personalized greetings and relevant information for guests. You can also preview each template.
Follow the step-by-step instructions below to set up your email templates:
- In the menu on the left, select Communications and click Settings.
- Go to the Email Templates tab.
- Choose the default language for emails. You can add new languages to the system and select them from the drop-down list.
- Select the appropriate salutation template from the drop-down list.
- Modify the Greeting text in all languages if necessary.
- Click the Save button.
- In the Accommodation block, click on the template you want to work with.
- Make all necessary corrections in the Mail Subject, Information, and To-Do fields.
- In some templates, you can attach a document from your device or enable a toggle for extra settings when necessary.
- Click Save to apply changes in a template.
- Click the Preview button to check the display of the template interface. View the email interface in the opened tab.
