How to set up Meals in HotelFriend

Offering meals at your hotel can make guests' stays more enjoyable by giving them easy and flexible dining options. In HotelFriend PMS, you can set up meal types and serving times, making it easier for guests to know what’s available and when. This setup not only enhances the guest experience but also helps with organizing the hotel’s meal services.

Here’s how to set up meals step-by-step:

  1. In the menu on the left, select the Room Rates module and choose Settings.
  2. Check if the option “Is it possible to book meal options with a room?” is set to YES. If not, select YES to enable meal setup.
  3. In the Meals block, click on the + Add Meals button.
  4. Fill in the following details:
    • Select the meal type.
    • Indicate the meal name.
    • Choose the VAT from the drop-down list.
    • Enter an article number if needed.
    • Indicate the price in the hotel currency.

  5. To split Food and Beverage VAT %, click on Split rate:
    • Specify food %, food VAT %, and enter an article number.
    • Specify beverages %, beverages VAT %, and enter an article number.

    To merge the meal rate back, click Join rate.

    To remove a meal type, click Delete.

    To add more meal types, click the + Add Meals button and fill in the fields.

  6. In the Timetable section, specify the restaurant’s start and end times for each type of food.
  7. Click Save.
  8. To split Food and Beverage VAT %, click on Split rate

    The created meal type options can be added to the Room Rates. This integration ensures that the system automatically includes the meal price in the accommodation fee.
