How to Set Up Room Types and Rooms
For room management, it is important to set up all room types and rooms. Also, it is necessary to add the correct information to both the PMS system and all OTAs to make sure the information in the systems matches. Thus, after establishing the connection, there will be no issues and the connection will work as quickly and smoothly as possible.
Here is how to set up room types and rooms:
- In the menu on the left, click on Settings and select the Room Types & Rooms module.
- In the Room types tab in the upper right corner, click on the "Add room type" button.
- Enter the name of the room. From the drop-down list, pull up the type of room, indicate the area of the room in square meters, as well as indicate the number of people in the room:
- max occupancy - the maximum number of people in the room;
- default occupancy - the number of people occupying by default;
- max adults - the maximum number of adults that can be accommodated in the room;
- max childrenmax children - the maximum number of children that can be accommodated in a room for one adult type of beds and their number provided in the room.
- In the beds’ block, select the type of bed from the drop-down list, indicate the quantity. If necessary, you can specify additional parameters. To add another type of bed, click on the “+” button. If there is no bed type in the list, you can add it by selecting the Add custom bed function in the beds’ field. Here you just need to enter the name of the bed, size, and save.
- Place all the amenities of the room category.
- Click on the "Next Step" button.
- In the pop-up window, indicate the number of rooms per room type. Fill in the "From" and "To" fields. For example, if you have 10 rooms of this type, you need to specify from 1 to 10. If there is only one room, you can specify from 1 to 1. In the "Room type" item, select the type of room you are interested in. Specify "Floor number" if necessary.
- Click on the "Add" button.
- In the Name field, specify the numbering of rooms or individual names and check the number of storeys in the Floor field. Please note that room numbers/names should not be the same. Before saving the information, you can delete rooms using the minus button located opposite each room if necessary.
- Click on the "Save" button.
Please note: If in a booking with OTA, the number of people in the room exceeds the limit specified in the HotelFriend system, the system will not accept this booking. It is necessary to set up the correct number of people in the room as you can adjust the cost for adults, extra accommodation for adults, and children of different age categories based on these data.
If necessary, in the Description field, you can enter a short description of the room which will be displayed on the booking button in the description of the room type.
Thus, Room Types and Rooms are created and active.
To display photos of rooms on the booking button, open Room Type, click on the “Upload image” button. Then, select photos of this room category on your computer and download them. If necessary, you can move the photos higher and lower. This way, you can set the order of the photos.
All created Room Types and Rooms are displayed with the corresponding module and tabs. You can use filters, enable and disable or delete rooms.
