How to manage Guests and Companies

Keeping an organized database of your guests and partner companies is one of the pillars of daily hotel management. In this article, you will learn how to easily create, manage, and update profiles for individual guests and companies in HotelFriend.

Managing guests

    To add and manage individual guest profiles:

  1. Navigate to the Guests module.
  2. Click the Add Guest button in the upper right corner.
  3. To add and manage individual guest profiles

  4. Fill in the guest details across the following sections:
    • General Information: First name, last name, gender, nationality, and other basic data.
    • Contact Information: Phone number, email, country, and address.
    • Passport Details
    • Optional: Add internal notes such as a Guest Comment, Note to Housekeeping, or Note to Meals to help staff tailor services.

  5. Click Save to store the guest profile.
  6. Click Save to store the guest profile.

Additional actions

Once the guest is saved, you can perform various actions from the upper right corner of the guest profile:

  • Add Booking
  • Add Order
  • Add Payment
  • Guest Order Overview
  • Create Invoice

Additional actions

Alternatively, use the menu icon located to the right of the guest entry in the list to apply these actions or delete the guest profile.

Once the guest is saved, you can perform various actions from the upper right corner of the guest profile

Managing companies

    To add a company profile:

  1. Go to the Guests module.
  2. Switch to the Companies tab.
  3. Click the Add Company button in the upper right corner.
  4. To add a company profile

  5. Enter the company details in the following fields:
    • General info
    • Company info
    • Comments and notes
    • Discount
  6. Click Save to save the company profile.
  7. Click Save to save the company profile.

Importing contacts

If you have a list of guests or companies saved externally, you can import them directly into the system:

  • In the Guests module, click Import Contacts in the upper right corner.
  • Upload your contact file in one of the supported formats: CSV, XLS, or XLSX.
  • After uploading, click Import to add the contacts to your database.
