How to set up Email Automation

Automating email communication can save time and ensure timely interactions with guests and employees. HotelFriend's Email Automation, feature allows you to schedule and send emails automatically based on predefined triggers. This guide will walk you through configuring email automation in your HotelFriend system.

  1. In the menu on the left select Communications and go to the Automation section.
  2. Review the topic and description of each automation option and toggle the switch to activate the automation you need.
  3. Select Communications and go to the Automation section

  4. For certain automations, click the Edit button to configure additional parameters. Once adjusted, click Save to apply the changes.
  5. Activate Email Automation

To manage email automation efficiently, apply filters to separate emails sent to guests from those sent to employees.

Important: If email settings are configured, the system will automatically send emails using the specified mailbox. All sent emails can be viewed in Communications → Chats → Email.

The "After guest departure" automation work logic

This automation sends a feedback/review email to the guest after their departure. It runs as a cron job every hour.

Configuration parameters:

  • Days in advance (days) — how many days after the checkout date to send the email (0 = same day as checkout)
  • Time of day to send (hours) — the hour of the day when the email should be sent. This is NOT "hours after checkout" — it is a specific time of day (0 = midnight 00:00, 1 = 01:00 AM, 14 = 2:00 PM, etc.)

For reservations in the Due Out or Checked Out status.

The Hours parameter should be set to a time after the hotel's typical checkout time. For example, if the hotel checkout is at 11:00–12:00:
  • Days: 0, Hours: 14 — send at 2:00 PM on the checkout day (guest has already departed)
  • Days: 0, Hours: 17 — send at 5:00 PM on the checkout day
  • Days: 1, Hours: 9 — send at 9:00 AM the next day after checkout

Setting Hours: 0 or Hours: 1 with Days: 0 will not work because at midnight/1 AM the guest has not yet checked out and the reservation does not have the required status.
