Room Management Guide

Depending on the kind of business you have, there are different types of setting up your account, regarding the room types you have.

1. Hotel Setup (most common). You have different room types and you sell rooms as a whole.

For example, you have the following room types:

  • Single room
  • Double room
  • Triple room
  • Family room

In each room type, you will have units to be sold (rooms). It is very important that you set up the right default occupancy, maximum occupancy, maximum adults allowed in the room, and children (if you allow them).

2. Hostel Setup. You have different room types and you sell beds inside each room type.

For example, you have the following room types:

  • 6 Bed Mixed-Dorm with shared bathroom
  • 6 Bed Female-Dorm with private bathroom
  • 8 Bed Mixed-Dorm with shared bathroom
  • 8 Bed Mixed-Dorm with private bathroom

To organise the beds inside this room types, you can name them, for example:
(Room Type) → 6 Bed Mixed-Dorm with shared bathroom
(Beds = rooms) → A, B, C, D, E, F, G or 1, 2, 3, 4, 5, 6,
If you have different 6 Bed Mixed-Dorm rooms (for example 101, 201 and 301 are this type), you can name the beds 1A, 1B, 1C, 1D, 1E, 1F (101). 2A, 2B, 2C, 2D, 2E, 2F (201)...

In this case, since you sell beds, the default occupancy, maximum occupancy and maximum adults will be always 1.

3. Different properties in different locations (as a whole). If you have 2 properties (2 hotels) in different locations, you need our Enterprise Suite (multi-property)

4. One property with different locations.. If you have for example 3 apartments in Berlin in different addresses but you handle them in the same HotelFriend Account, you need to know:

If you connect those properties to OTAs, you will have 3 different Booking.com (example) accounts. This means you will have one Hotel ID per apartment.

We can connect different Booking.com accounts in our channel manager. Regardless of being the same OTA, since there are 3 different Hotel IDs, this will be counted as 3 different channels.

When proceeding with the connection, we will synchronise each property with the right Booking.com account.

Now, please bear in mind, it can be different for your HotelFriend Booking Engine:

Listing different properties in different locations in our booking engine, it is not a problem, but you will have to make really clear in the general description that you have different locations. Then, in the description of the room types, you can indicate in which location that property is. (This is because if you have only one HotelFriend Account with properties in different locations, in settings > general you can put only the company´s address and one Google Maps).

Add the type of rooms, their capacity, and other parameters in the reservation system to provide relevant information to your guests.
