How to set up Concierge

Click on the Concierge module on the left side menu. In case there is no Concierge module in the menu, you should contact your manager or write at support@hotelfriend.com.

    Main Tab

  1. Fill in the data fields with the Wi-Fi name and password. If necessary, you can click on the + button and add the data of additional access points.
  2. In the Fast check-in / check-out block, you can allow guests to make a fast check-in on their own by letting them submit their personal data, attach photo of the documents, and leave a signature in the app.
  3. It is also possible to allow customers to pay for services online.

    Please note that you can activate this feature only if the online payment system is turned on in hotel settings.

    To turn on or off the feature, click the button located next to the description of each feature. When the feature is enabled, the button will be displayed in green; when disabled, the button will be displayed in red.

  4. In the Orders & Settings block, it is possible to allow customers to make orders without prior registration and immediately buy the service. Please note that you can activate this feature only if the online payment system is turned on in hotel settings.
  5. In the Additional settings block, you can allow guests to extend the duration of their stay if there are any rooms available. You can also provide them with information concerning accommodation.

    Info Blocks Tab

    The Info block is a module, which allows you to post additional information that could be useful to users. For example, you can provide them with information about the local infrastructure, entertainment, and tourist attractions. Info blocks can contain Info pages with more precisely described data. For instance, the Info block could be about the local cuisine and the Info pages may include detailed information about the nearest restaurants. To set up the info block, we recommend you to prepare text content and photos in advance.

  3. Type the block theme name in the Name field;
  4. Add the description in the Description field;
  5. If there are any additional language packages in the system, click Translate to all button;
  6. Upload a photo from your device by clicking the Upload images button;
  7. Click the Add button.

    Info Pages Tab

  1. Click Add info pages button on the Info Pages tab in the right upper corner;

  3. Choose corresponding info block from the expanding list in the Info blocks field;
  4. Upload a photo from your device by clicking the Upload images button;
  5. Type the page name in the Name field;
  6. Add the description in the Description field;
  7. If there are any additional language packages in the system, click Translate to all button;
  8. Click the Add button.

    Welcome PDF Tab

    With the Welcome PDF tab, you can create a welcome document and place it in all public areas. This will help guests to familiarize themselves with the information and always be in touch. Welcome PDF is generating in the same way as in the Documents module.

  1. Click Create Welcome PDF button on the Welcome PDF tab in the right upper corner;

  3. Choose the document language from the expanding list;
  4. Choose the background you prefer;
  5. Adjust the page size;
  6. Click the Create button;
  7. Download, print, and put this file on in public areas and hotel rooms.

    Service PDF Tab

    With this tab, you can create a Service PDF, which you should also place in all public areas. With this document, guests could pay for services online only by scanning the QR-code. Before creating a Service PDF, make sure that services are integrated into your account, configured, and enabled for sale. If services are not configured, click on Services for instructions on how to set them up.

  1. Click Create Service PDF button on the Service PDF tab in the right upper corner;

  3. Fill in the data in such fields as:
    • Name;
    • Language (choose from the expanding list);
    • Paper size (choose from the expanding list);
    • Type;
    • From and To.

    If the Tables type was selected, the From and To fields will show the table numbers in restaurants.
    If the Rooms type was selected, the From and To fields will show the room number.
    If Without delivery zone was selected, the From and To fields will display the number of files that have to be sent for printing.

  4. Select desired service from the expanding list;
  5. Click on the + button to add other services you need and choose an available service;
  6. To create a file, click the “Create” button;

  8. Download, print, and put this file on in public areas and hotel rooms. If the file was created by mistake, it is possible to delete it using the action menu opposite the file.

    We recommend you to return to the Main Tab of the Concierge module and check the information displayed in the emulator after adjusting necessary settings. The emulator shows how the information will be displayed in the mobile application.
