In this version, we're making your hotel management routine even easier with a range of new features. Explore the Vectron POS integration, enhanced DATEV reporting, and improved customization options that simplify managing partner bookings and guest details.
What’s new for hoteliers?
1. Introducing integration with Vectron POS terminals
We are thrilled to announce our new integration with Vectron POS, which allows you to link orders from your hotel’s restaurant or bar with bookings in the HotelFriend system.
Using the “Hotel” button on the Vectron POS terminal, you can quickly find a booking by room number or guest name. This feature ensures that orders are accurately attributed to the correct booking, allowing guests to settle their bills later during checkout. Please keep in mind that orders paid with cash will not be linked to any bookings.
2. The "Debitor ID" field for better guest tracking and DATEV reporting
We have created a new hotel guest field called "Debitor ID," which is available specifically for users with DATEV report permissions.
This unique numeric identifier is automatically generated by the system and assigned to the guest when you create an invoice. It appears both on the invoice and guest card, providing a consistent reference. Once assigned, the "Debitor ID" cannot be changed or deleted, even if you cancel the invoice. If a guest is created without an invoice, the "Debitor ID" will remain empty.
3. New settings in “Custom fields for Guest” for payers and additional guests
The "Custom fields for Guest" feature now includes the option to separate required or optional fields for the primary guest (payer) and additional guests. For example, you can now make a custom field like "Phone number" optional for the main guest but mandatory for any additional guests.
We've also improved the configuration of required fields for the Booking Engine and Guest App, allowing these settings to be customized independently for each section. This gives you the flexibility to choose different required fields for the payer and additional guests, streamlining data collection and management.
4. Enhanced functionality for the “Sources for Distributors” feature
Previously, we introduced a functionality that lets you generate unique links for distributors, such as tour operators and partner businesses, to better track bookings made through your partners.
In this update, we've added several improvements to this feature. A "Distributor Source" field has been added to the booking card, and it can now be edited within individual booking cards.
This field is also displayed in group booking cards, with multi-action editing enabled for group bookings.
Additionally, the "Distributor Source" field is included in step 2 of the "Add Booking" and "Add Deal Booking" modals. These improvements make it easier to manage and monitor distributor-linked bookings.
5. Personalize your Reservation grid with flexible viewing options
In the Reservation module, you can now choose whether you want to display the guests or the payer. This setting provides flexibility to manage the columns shown in the grid, allowing you to customize the display according to your needs. You can access this feature by navigating to Reservations > Settings > Settings of reservations grid and selecting the "Show payer as guests" checkbox.
6. Minor fixes and visual improvements
- ● Resolved an issue where items with different VAT types but the same VAT value were missing from invoice VAT calculations.
- ● Fixed an error leading to incorrect balance calculations after moving a payment.
We value your feedback and are eager to hear any suggestions you might have. Please don't hesitate to share your thoughts with us—your input is vital to our ongoing improvement efforts!
