Product Updates v. 4.1.0: Dynamic Quota, automation for “No Shows” and enhanced UI

This update brings a Dynamic Quota feature for flexible room management, automated "No Show" status updates for reservations, as well as general system refinements and interface upgrades.

What’s new for hoteliers?

1. Introducing flexible room availability with a Dynamic Quota

We're excited to introduce a new feature in our Room Rates module: the Dynamic Quota setting, which enhances flexibility in managing room availability. This update, accessible through the Quota Settings tab, allows for setting room availability dynamically per day for different room types.

The Dynamic Quota setting lets you add a "virtual quota," which offers the following advantages:

By adding a dynamic quota that extends beyond the physical room limit, this feature helps mitigate the risk of overbooking and allows for greater booking flexibility.

You can also use the dynamic quota to limit room availability during specific periods, managing demand strategically even when rooms are physically available.

Moreover, the Front Desk module now reflects these changes, displaying positive adjustments (increased quota) and negative adjustments (reduced quota) under the physical room quota, providing a comprehensive view of room availability. This update places you in greater control of your room management strategy.

2. Streamline your booking management with “Automatically change reservation status to No Show

Meet a new automation feature that helps manage your reservations more easily. This feature automatically changes a guest's reservation to "No Show" if they haven't checked in by the end of the hotel's set check-in time on their reservation date. You can turn this on by going to Settings > Automation > Automatically change reservation status to No Show.

Here's how it deals with cancellation fees:

If the guest's prepayment fully covers the cancellation fee, a zero-balance invoice showing this is sent to the guest.

If the prepayment is less than the fee, an invoice showing what's left to pay is created and emailed to the guest.

Important: Keep in mind, that this feature won't change the reservation status if there's already an invoice or if the prepayment exceeds the cancellation fee. These cases still need to be handled manually.

3. Customize cancellation fees for regular bookings

Another new feature from this update allows you to set a custom cancellation fee when canceling bookings. In the "Cancel Booking" modal window, you can now specify a custom fee to be charged to the guest upon cancellation. Please note that this feature is currently available for regular bookings and does not apply to group bookings at this time.

4. Added enhanced view of the Order section

We've also made several improvements to the Order section to streamline your workflow and enhance your user experience.

We've integrated inventory information directly into the grid. This addition allows you to view the names of services included, simplifying the process of tracking inventory alongside orders.

To provide a more comprehensive overview of your operations, we've added duration times to both the Scheduler and Order grid. This feature enables you to better plan and allocate resources by clearly displaying how long each task or appointment is expected to take.

5. System enhancements: Improved invoicing, terminology, and UI

These improvements aim to streamline operations, enhance clarity, and boost overall system efficiency for our users.

We have made a significant addition to our invoicing system by including deal names directly on invoices. This update allows users to effortlessly identify and track special offers or negotiated deals associated with each transaction.

● Renamed Virtual rates to “Dynamic rates

In response to user feedback and to better describe our pricing strategy, the term "Virtual rates" has been updated to "Dynamic rates."

● Employee card revamp

The employee card interface has undergone comprehensive refactoring to improve its usability and performance. This update includes a refined layout and optimized loading times, making it easier for users to access critical employee information quickly and efficiently.

● The booking display is updated on the Front Desk

Based on client requests for improved name sorting and readability, we have updated the booking display at the front desk. For short reservations, guest names will now appear in the "Last Name, First Name" format.

6. Minor fixes and visual improvements

  • ● Corrected filter to display service names instead of IDs for easier navigation..
  • ● Ensured additional guest emails are saved correctly, enhancing communication.
  • ● Updated to include missing service revenue for comprehensive financial reporting.
