HotelFriend Announces Invoice Payment Scenarios for Long-Stay Guests

New invoice scenarios reduce manual back-office workload and enable predictable, on-time monthly billing for long-term reservations.

Berlin, 23 June 2026 – HotelFriend AG, a Berlin-based provider of all-in-one hotel software for the DACH market, is expanding its “Monthly Billing” feature with new invoicing scenarios for long-stay bookings. Hotels can now largely automate recurring billing for monthly and extended-stay guests while still deciding how much control they want over each individual billing step.

Long-stay bookings regularly present hotel accounting teams with specific challenges: recurring invoices, prorated calculations for partial months, and continuous tracking of outstanding payments. The update addresses exactly these issues – it helps prevent missed billing cycles, reduces manual effort, and ensures predictable invoicing.

Flexible balance between automation and manual control

Hotels will now define the billing flow directly in the booking process via the “Billing Strategy” field. The first invoice can be created at the time of booking, while all subsequent periods are billed automatically. Hotels that prefer full automation can enable an end-to-end process. Properties requiring more control can initially save invoices as drafts and approve them after internal review. For configurations without a defined billing cycle, automatic rules ensure a continuous invoicing process.

Guests are kept automatically informed: updated email notifications confirm the booking and inform them about newly created open invoices, without requiring manual follow-up from the front desk team.

One consolidated invoice per billing period

For each billing period, HotelFriend automatically generates a single invoice that combines all relevant services: room or suite charges, meals, housekeeping, prepayments, and additional services such as spa or sports offers. The hotel controls the sending time individually, aligned with internal payment and reporting processes. Advance pricing for future stays can also be configured.

Precise pricing logic for partial months

The update also improves calculations for incomplete months. Hotels can choose between two models: under monthly billing, the full monthly rate is charged per calendar month. Under prorated billing, partial months are calculated proportionally – a stay from 1 February to 10 March would include the full February rate plus ten out of 31 days of the March rate. Whether billing periods follow check-in dates or calendar months is defined by the hotel.
