Product Update v. 4.15.0: HotelPlatform for door locks, EFSTA Italy, and system improvements

HotelFriend keeps getting better! This release brings new integrations, easier door code management, and smarter mass actions to streamline your hotel management routine.

1. HotelPlatform integration for door locks

We’ve released the first version of a HotelPlatform door lock integration, which currently supports encodable key card solutions from Assa Abloy (such as Tesa) and Salto Space. Hoteliers can find and enable this integration directly under Property > Integrations in the HotelFriend system. Once connected, the system allows them to issue and manage guest key cards. More door lock providers are expected to be added in the future.

2. EFSTA Italy integration for fiscal compliance

The HotelFriend system now supports EFSTA Italy, helping hotels register transactions and print receipts in full compliance with Italian fiscal law. The integration covers receipt layouts, VAT handling, and allows further customization through EFSTA tools.

3. General EFSTA improvements

● Partial prepayment and vouchers

To support more flexible payment scenarios, EFSTA now allows partial prepayments and voucher additions to invoices. This ensures that all transactions are accurately registered and reflected in EFSTA receipts, making financial reporting even more reliable and compliant with fiscal regulations.

● Voucher product and redemption

We’ve also introduced EFSTA support for voucher products and their redemption in guest invoices. With this update, hotels can register voucher purchases and track redemptions directly in the system, meeting EFSTA’s requirements for multi-purpose vouchers and ensuring a seamless accounting process.

4. Improved visibility and management of door lock PIN codes

Hotels without integrated door locks can now manage door codes more easily. We’ve improved the visibility of this functionality with clearer tooltips, better instructions, and options for sending codes directly in booking emails. Codes can be shared either manually or automatically in booking emails, making the process more intuitive for staff and guests alike.

5. Protection against accidental payment gateway deletions

To prevent accidental disruptions, payment gateways can no longer be deleted if they still have active integrations. Users are now prompted to deactivate integrations first, which keeps the system stable and ensures smooth operation of connected services.

6. New mass actions in the Paymasters tab

Mass action functionality has been made more consistent and powerful in the Paymasters tab. Hoteliers can now perform common actions like making profiles inactive or sending emails to multiple records at once. Status updates are also more reliable, creating a smoother workflow when managing large sets of data.

7. Better logic in the package reservation modal

We’ve refined the logic in the Add Package Reservation modal to make it easier to use. The system now validates only the check-in date against sales restrictions, which simplifies package selection and reduces errors. This change makes the process faster and more intuitive for hotel staff.

8. Custom placeholders for personalized email templates

Hoteliers can now personalize guest communication more effectively with custom email template placeholders. This first iteration supports guest-related placeholders, allowing hotels to save and reuse tailored templates. Reservation and other placeholders will be added in upcoming releases to expand the customization possibilities even further.

9. New Marketing emails category with compliance controls

A new Marketing emails category has been introduced, giving hotels more control over compliance and guest preferences. Birthday emails, booking offer reminders, and expiring offer reminders can now be turned off at the guest level, overriding existing automations. Future updates will expand this feature with guest opt-in/out options and the ability for hoteliers to assign categories to any type of email.

10. Minor fixes and visual improvements

  • ● Importing large guest files (>99 entries) is now faster, with better progress indicators and error handling
  • ● Fixed an issue where task reminders could fail if the publish date was missing
  • ● Service duration is now properly displayed and selected in order modals
  • ● In the Housekeeping module, staff can now see and select the “No Show” status for bookings, streamlining room management
